How to install, set up and test DirectoryPoint, answers to common problems, how to reach us and when we reply.

Install, set up and test

About 30 minutes. You need SharePoint Online in Microsoft 365, a SharePoint administrator for step 1 and a site owner for the rest. No Microsoft Graph permission and no key are needed.

  1. Add the app. A SharePoint administrator adds DirectoryPoint to the tenant app catalog and enables it, keeping "Add to Teams" ticked for the Teams app.
  2. Add the web part. On a modern team or communication site, create a page, add "DirectoryPoint Employee Directory" from the toolbox (group Advanced) and publish the page.
  3. Run set-up. Open the page as a site owner and choose Set up. A progress bar runs while DirectoryPoint creates its lists on the site, then Home opens with the evaluation notice and the tier you are on (Basic, or Standard with any add-ons approved).
  4. See it full. In a small tenant, Settings, Directory source, Demo directory (or ?dpdemo=1 in the page address for one page load) shows a clearly labelled directory of fictional people, so every screen has something in it. Switch back to "Your organisation" when you are done.
  5. Search. Type a name with a typo or a nickname ("kathryn", "bill", "o'neill"). Open a profile: Teams chat and call, email, manager and team, skills and Show in org chart.
  6. Discover and save. In Discover, use Skip, Save and Open (or the arrow keys), then Undo. The saved person appears under their skills in Favourites. Nobody is notified.
  7. Who's Who and collections. More, Who's Who: play a round (with the Demo directory every game is practice). Favourites, Collections: a new smart collection with the condition Office "Leeds" lists whoever meets it, and More, Offices and departments shows Leeds.
  8. Agents (optional). Settings, Agents: turn agents on and add one with a task such as "Book leave" and a launch link. Searching "book leave" lists the agent first, then the people who can help.
  9. About you. Settings, About you: add how to say your name, pronouns, how you like to work and a language, and record your name if the computer has a microphone. Your profile shows them, and "Say my name" plays only when pressed. Clear them again.
  10. Data health and corrections. More, Data health lists profiles missing details. Then, with Settings, Directory source back on "Your organisation", More, Change requests: suggest a correction to your own profile, then Approve for IT and Copy for IT. Each decision is recorded in DirectoryPoint Audit, and nothing changes in Microsoft Entra ID.
  11. External contacts. More, External contacts, Manage: add a contact for everyone. Search finds it with an External badge; it never appears in the org chart, celebrations or the export of people. Remove it again.
  12. As a member. A site member who saves someone sees only their own favourites, and only the change requests they sent. With kudos turned on by both of you, a kudos stays "Sealed kudos" in the list until it is accepted; a collection you share shows under "Shared with you" on their Home; joining and leaving the Who's Who scoreboard adds and removes their row at once.
  13. Usage. More, Usage shows daily totals only (numbers under 5 read "Fewer than 5"), never names, profiles or search words, with the switch that turns counting off.

Microsoft Teams

In Teams, open Apps, Built for your org, and add DirectoryPoint as a personal app, or as a tab in a channel of a team whose SharePoint site has DirectoryPoint set up. In a shared or private channel the tab opens that channel's own site, where a site owner sets DirectoryPoint up first. It shows the same directory as on a SharePoint page and follows the Teams theme. The Teams app asks for the microphone (Teams calls this the "media" permission) only when someone records how they say their name; the Teams mobile app cannot record, and on phones there are no plans or prices.

Viva Connections

Edit your Viva Connections dashboard and add the DirectoryPoint cards: Find someone, Your favourites, New joiners and Celebrations today. In each card's settings, leave the DirectoryPoint site empty when the dashboard's site is the DirectoryPoint site, or enter that site's address on the same SharePoint host. The cards show the same people as the web part and open profiles on the DirectoryPoint page.

Licence keys

A site owner opens DirectoryPoint, then Settings, Licence, and pastes the key. If you can edit your tenant app catalog, the key is saved for every site in your organisation; otherwise for this site. Keys are never shown on the page after they are saved.

The daily check-in

Once a day DirectoryPoint tells Apps 365 which licence it is using (no names, profiles, directory data or keys), so we can help with your licence. A site owner can switch it off in the same Licence panel. Details are in the privacy notice.

Permissions

DirectoryPoint works with no Microsoft Graph permission. The permissions page explains the three optional read-only ones.

Common questions and fixes

Members see "DirectoryPoint is not set up on this site yet"

A site owner needs to open the page once and choose Set up. Until then members see this message and nothing is created.

Someone is missing from the directory

On the Basic tier DirectoryPoint lists the people SharePoint search has indexed from user profiles, and a new starter can take a while to appear there. On the Standard tier people are read live from Microsoft Entra ID up to about 2,000 accounts; from 2,000 to 30,000 each browser keeps its own copy, brought up to date on each visit; and a published snapshot shows people as they were when it was published, until a site owner refreshes it (Settings, Directory size and snapshot). In search-first mode people hidden from the address list are left out on purpose. Either way, check the who-is-listed rules in Settings: guests, rooms, shared mailboxes, disabled accounts and accounts without a licence are left out by default.

Job titles, filters or the full org chart are missing

Those come with the Standard tier, which needs the read-only User.Read.All permission. Settings, Permissions and consent shows which permissions are approved and the words to send your Global Administrator. See permissions.

A who-is-listed rule says it could not be checked

Rules based on an Entra group need to read group membership. If the permissions approved in your tenant do not allow that, DirectoryPoint says so and does not apply the rule, rather than guessing.

DirectoryPoint is not in Microsoft Teams

An administrator selects DirectoryPoint in the tenant app catalog and chooses Add to Teams. If it still does not appear, or Teams says you do not have access, your tenant keeps new custom apps blocked: a Teams administrator opens the Teams admin center, Teams apps, Manage apps, DirectoryPoint, chooses Allow and makes it available to the people who need it.

People can search but not save favourites or change settings

The 14-day evaluation has ended and no licence key is saved. Search, browse and profiles keep working, and people can still withdraw their own choices; a site owner enters a licence key under Settings, Licence and everything works again at once.

A page says a list is not on this site yet

After an update, a site owner opens Settings, Site health and chooses Repair and update. It adds the lists and columns the new version uses and keeps everything already there.

Recording a name does not work in the Teams mobile app

The Teams mobile app does not give apps like DirectoryPoint the microphone, so recording is not offered there. Record your name in Teams on a computer or the web, or on the DirectoryPoint page in SharePoint; it plays in the mobile app once saved. In a browser that cannot record audio, DirectoryPoint says so.

A Viva Connections card shows nothing or says the page must be on this SharePoint host

In the card's settings, leave the DirectoryPoint site empty when the dashboard's site is the DirectoryPoint site, or enter the address of the site where DirectoryPoint is set up. It must be on the same SharePoint host; a card never opens a page anywhere else.

Search-first mode cannot be turned on

Search-first mode finds people only through Microsoft 365 people search, so it needs the read-only People.Read permission. Settings, Permissions and consent shows whether it is approved.

Ask for help

  1. Email us at info@apps365ltd.com.
  2. Tell us what you were doing, what you expected and what happened, the address of the SharePoint page where DirectoryPoint is set up, and the version shown on DirectoryPoint's Help page.
  3. Leave out passwords, licence keys and personal details of the people in your directory. We never need them, and we will never ask for a password.

When we reply

We aim to reply within one working day: Monday to Friday, 9:00 to 17:30 UK time, except UK bank holidays. Tenant Plus customers are answered first. If something stops your organisation working, say so in the first line and we aim to look at it straight away within those hours.

Security or data protection concerns: info@apps365ltd.com, or see security.txt. Accessibility problems: see our accessibility statement.

Your data

Your directory data stays in your Microsoft 365 tenant, in SharePoint lists on your DirectoryPoint site. See security and data handling and the privacy notice.

Removing DirectoryPoint

Delete the web part and the Viva Connections cards from your pages and dashboard, and remove the app from the app catalog. DirectoryPoint's lists and the DirectoryPoint Snapshots library stay on your site, so nothing is lost by accident; a site owner deletes them like any SharePoint list when they are no longer needed. Copies in each browser are cleared in Settings, Directory size and snapshot before removing, or by clearing the browser's site data for SharePoint.
